The Administrative Assistant will be required to perform an array of administrative duties to support the branch office.
PRINCIPAL DUTIES & RESPONSIBILITIES
Performs general administrative duties including typing, scanning, photocopying, faxing, filing, and handling incoming and outgoing mail and courier distribution
Opens and assigns new loss assignments
Creates and modifies documents in Link and Microsoft Word, including time tracking and file notes
Accurately completes dictation from Branch adjusters as necessary
Provides assistance to branch adjusters; including attaching enclosures on outgoing correspondence or reports; file management - schedule of loss tabulation, itemizing/recording/documenting receipts to correspond to schedule of loss, typing statements, and printing photos
Maintains hard copy and electronic filing system
Assists with setting up appoints for adjusters as required
Handles telephone inquiries in a professional manner and records any relevant information
Completes payment request forms for Branch office expenses for approval and processing
Records, updates and maintains and closed file storage
May be required to maintain inventory of office supplies
Additional duties as assigned
Supervisor received from the Branch or District Manager
Business/commercial program completed or in progress
Minimum of 2 years administrative experience; within the insurance industry an asset
Previous dicta experience
Excellent keyboarding and typing skills (60 wpm minimum)
Working knowledge of Microsoft Word
Professional verbal and written communication skills; knowledge of telephone protocol
